Account and billing

Choose or change your plan

Open the Subscription page, compare plans on monthly or yearly billing, subscribe from a trial, upgrade, downgrade, switch the billing cycle, cancel and reactivate, and know when each change takes effect.

Every workspace runs on one subscription: a trial with no time limit to begin with, then the paid plan you choose. When you finish this page you will know how to read the Subscription page, pick a plan on monthly or yearly billing, subscribe from a trial, move between plans, and cancel or reactivate, with the exact moment each change takes effect and what it does to your credits.

What you need

  • A workspace. Every workspace is created with a trial subscription; see Workspaces.
  • The Owner role to subscribe, change, cancel or reactivate.
  • For a paid plan, a payment method to enter at checkout; see Pay and manage your payment method.

Steps

Step 1: Open the Subscription page

Open the user menu and choose Subscription & billing, or click Upgrade Your Plan on the plan card at the bottom of the sidebar. The page is /subscription in the portal.

The top of the page names your plan and its state:

You are on The page shows
A trial Free trial and Free trial in progress, with no end date
A paid plan Billed monthly or Billed yearly with the price, then Next billing date: and the date

Under it, the Credit balance card shows everything you can spend, with Plan credits, the rollover limit, the date of the Next credits and your Extra credits under it. With no paid plan the first card reads No paid plan, basic limits. What those figures mean is on Credits, top-ups and rollover.

Step 2: Choose monthly or yearly billing

Under Upgrade Your Plan, the Monthly and Yearly toggle sets the cycle every card is priced on. Yearly carries a N% OFF badge when a plan is cheaper per year than twelve months paid monthly. On Yearly, each card shows the monthly price struck through, the yearly price divided by twelve, and the whole amount billed yearly underneath.

Plan credits arrive every month on both cycles; Yearly changes when you pay, not how often the credits arrive. See Credits, top-ups and rollover.

Step 3: Read a plan card

Each card lists the plan's name, its price per month, a short description, its credits every month, such as 600K credits every month, and a list of what it includes, such as agents, knowledge storage and API keys. One plan carries the Most Popular badge.

The card's button tells you what choosing it does:

Button When What happens
Select Plan You are on a trial, or your subscription is canceled or expired Opens the checkout page for that plan and cycle
Current Plan Your plan on your current cycle Nothing; the button is disabled
Upgrade A higher plan than yours Opens a confirmation; applies at once
Downgrade A lower plan than yours Opens a confirmation; applies at the end of the period
Switch to Yearly Your plan with Yearly selected Opens a confirmation; applies at once
Switch to Monthly Your plan with Monthly selected Opens a confirmation; applies at the end of the period

The plan cards scroll sideways on a narrow screen; use the dots or the arrows under them.

Step 4: Subscribe from a trial

  1. Set the cycle, then click Select Plan on the plan you want.
  2. On the checkout page, check Subscribe to and the plan name, the price with /month or /year, Subtotal, and Total due today.
  3. Pay by card with Stripe or Paymob inside the page, or with PayPal, which takes you to PayPal to approve the payment and back. The details are on Pay and manage your payment method.
  4. Wait on Processing Your Payment... until the dialog reads Payment Successful! with You now have N Credits. Click Go to home page.

Back to plans returns you to the Subscription page without paying.

The trial has no time limit. It ends when you pay for a plan, and the unused trial credits end then. Extra credits you bought never expire and keep working.

A canceled or expired subscription follows the same steps. A canceled subscription whose period has not ended is refused at checkout with Subscription is canceled but still active until period ends. Use reactivate instead.; use Reactivate Plan as in Step 7.

Step 5: Upgrade, downgrade or switch the cycle

On an active paid plan, the card's button opens a confirmation instead of the checkout page. The same payment method stays in use.

Change When it applies Message After Confirm change
To a higher monthly plan Today Starts a new monthly cycle today. You pay the price now. Your N unused credits stay and the new plan's credits are added. Toast Plan changed with Upgraded to {plan}.
Monthly to yearly, same or higher plan Today Starts a new yearly cycle today. You pay the price now. Your N unused credits stay and the new plan's first month of credits is added. Toast Switched to yearly billing. or Upgraded to {plan}.
Yearly to a higher yearly plan Today Starts a new yearly cycle today. You have used $U of your current year, so $D comes off the new price. You pay $X now. … Toast Upgraded to {plan}.
Downgrade, yearly to monthly, or monthly to a lower yearly plan End of the current period Takes effect on the date**. Until then you keep your current plan and credits. Unused plan credits end at the switch; top-up credits stay.** Toast Downgrade to {plan} scheduled at end of period., Switch to monthly billing scheduled at end of period. or Change to {plan} scheduled for the end of this period.

The yearly discount is what you paid for the year minus the part you have used, valued at the monthly price. With $190 paid for Starter yearly and 3 months used, $57 is used, $133 comes off Growth yearly's $790, and you pay $657. After 10 months the discount is $0.

A subscription paid by Paymob adds It is charged to your default card.; one paid with PayPal adds You approve the new plan on PayPal first.

A downgrade dialog opens with Heads up: when the smaller plan cannot hold what the workspace already has, for example You currently have 6 agents but {plan} only allows 3. You'll need to archive 3 to create new ones. The same wording covers API keys and knowledge storage. The downgrade still goes through; after it applies you cannot create or upload past the new cap until you are under it.

The page does not show a scheduled downgrade or switch to monthly and has no control to withdraw one; confirming another change before the period ends replaces it. Keep My Plan closes the dialog without changing anything.

Which plan is higher is decided by its tier: Starter, then Growth, then Scale. A subscription paid with PayPal is sent to PayPal to approve the new plan before it starts.

Step 6: Cancel

  1. Click Cancel subscription under the quick actions. The link is shown on an active paid plan only; a trial has no plan to cancel.
  2. The dialog is titled Cancel Subscription and asks Are you sure you want to cancel?, then Your {plan} plan will remain active until {date}. After that, you will lose access to: followed by Plan credits left now and the plan's services, and the note Your subscription credits end on the date**. Top-up credits never expire.**
  3. Click Cancel Subscription to confirm or Keep My Plan to close.

Access continues until the date shown, with your plan credits. On that date the subscription becomes expired: the plan credits end, the page reads No paid plan, basic limits, the cards offer Select Plan again, and any extra credits you bought never expire.

Step 7: Reactivate

A canceled subscription shows Reactivate Plan in place of the cancel link until its period ends. Click it; the toast reads Reactivated with Your subscription is active again., and the next renewal is charged as before.

Reactivation works for subscriptions paid by card, before the period ends. Past that date the toast reads Reactivation failed with Subscription period has ended. Please subscribe to a new plan.; a subscription paid with PayPal is refused too. In both cases, choose a plan with Select Plan.

Get it right

Upgrades and the switch to yearly apply at once; downgrades and the switch to monthly wait for the period to end. On yearly billing that wait is the rest of the year, so settle the plan before you commit to a year of it.

Recommended

  • Subscribe on Monthly, run a full period on the plan, then Switch to Yearly once the allowance fits.

Less effective

  • Subscribe on Yearly first and change your mind: Switch to Monthly and any Downgrade apply when the year ends.

Worked example

Your workspace is 12 days into its trial. You open Subscription & billing; the top reads Free trial and Free trial in progress. You leave the toggle on Monthly and click Select Plan on a card that reads Growth and 3M credits every month.

The checkout page reads Subscribe to Growth with the monthly price and Total due today. You choose Stripe, fill in the form and pay. After Processing Your Payment... the dialog reads Payment Successful! and You now have 3,000,000 Credits. The Subscription page now shows the plan's name, Billed monthly with the price and Next billing date: one month from today, the card reads Current Plan, and the Credit balance reads 3,000,000.

Two weeks later you need more agents. You click Upgrade on the next card; the dialog reads Starts a new monthly cycle today. You pay $249.00 now. and how many unused credits stay; you click Confirm change. The toast reads Plan changed and Upgraded to the plan's name, Plan credits shows what you had left plus 10,000,000.

What happens next

After a subscription starts or renews, the plan credits are granted for the new period and the owner receives a Subscription renewed notification, after the first payment and each renewal; see Read your notifications. After an upgrade the new cycle and the added credits show at once. After a scheduled downgrade, the plan name, price and allowance change on the Next billing date.

When a renewal payment cannot be collected, the owner receives a Payment failed notification, the portal keeps working for 7 days after the period end, and requests made with an API key are refused during that time. What to do is on Pay and manage your payment method.
