Your terms

Add the names, products and acronyms you use, and how they are heard, so every transcript and live session is spelled your way.

Speech to Text writes what it hears. A bank name, a product or an acronym often comes out spelled the way it sounds. Your terms is a list you keep, so the transcript uses your spelling instead. It applies to files and to Live transcription.

What you need

  • Access to the Speech to Text page.

Steps

Step 1: Open your list

On the Speech to Text page, find the Terminology row and press Edit. The row shows how many terms you have, such as 3 terms, and the hint Spell names, products and acronyms your way. You can also press Edit on the Your terms card of any transcript.

A panel titled Your terms slides in. Until your list has loaded, its fields are off. If it cannot load, the panel reads Could not load your terms. Press Try again.

Step 2: Add a term

Type the spelling you want in the box that reads Correct spelling, then press Add term. For example, Emirates NBD or KYC.

The term joins your list at once. There is no save button.

Step 3: Add the ways it is heard

Under a term, press the box that reads + heard as…, type a way it is heard, and press Enter. Add as many as you need, such as kay why see for KYC. Each one shows as a chip. A chip's cross removes it.

A term with no ways added is still used. The ways help when the audio is heard differently each time.

Step 4: Remove a term

Press the cross at the end of a term's row. The label reads Remove and the term. The term goes from your list, and the next transcript no longer uses it.

Step 5: See what it fixed

On a transcript's page, each term shows a count such as 2 fixed: how many words it corrected in that transcript. Open the panel from the transcript to see them.

How your terms are used

  • The list is saved for the whole workspace. Everyone in it uses the same list.
  • A transcript uses the list as it was when you pressed Transcribe or Start live. A term you add later applies to the next transcript. Retry on a saved row uses your list as it is when you press Retry.
  • On a transcript, a corrected word is marked in the text. Point at it to see what was heard.
  • Close matches that were not changed appear under To review as Did you mean?, with Accept and Dismiss. Accept adds what was heard to that term's ways, so the next transcript fixes it on its own.
  • A Your terms switch on the transcript turns the corrections off, so you read the words as heard. Downloads follow the switch. See Read a transcript.

Worked example

You work at a bank, and your calls mention Emirates NBD and KYC. Open Edit on the Terminology row, add Emirates NBD and KYC, and add kay why see to KYC. You transcribe call.mp3. The text reads KYC where the speaker said it, and the Your terms card on the transcript shows Corrected with the count. Switch Your terms off and you read the words as heard.

Troubleshooting

A term was not corrected

Check that it was in your list when you pressed Transcribe or Start live. Add the way it was heard to the term, then transcribe again. Or press Accept on its row under To review.

The Your terms switch is missing

No terms were sent with that transcript. Add terms and the next one has the switch.

The card says my terms could not be applied

The transcript shows the words as heard. Transcribe the file again to apply your list.

FAQ

Do my terms change transcripts I already made?

No. Accept fixes the word on the page you are reading until you leave it, and adds the way it was heard to your list for the next transcript.

Can a teammate see my list?

Yes. It is saved for the workspace, so everyone in it shares one list.

Can I use the same terms in the API?

Yes. See Custom terminology.
