# Account and profile

Edit your name and profile details, change your password, pick a theme and language, and know what the Settings page does and does not change.

The **Settings** page is where you keep your own account in order: the name
the portal shows for you, the profile details you choose to add, your password,
your two-factor setting, and the theme and language the portal opens in. When
you finish this page you will know every field on it, what saving does, and
which values are fixed once the account exists.

## What you need

- An EchoNova account you can sign in to. See
  [Sign-in methods](/docs/account/sign-in-methods).

## Steps

### Step 1: Open Settings

Open the user menu in the portal header and choose **Account settings**. The
menu at the foot of the sidebar calls the same entry **Personal settings**.
Either one opens **Settings**.

The header of the page shows your name and your current plan, then four tabs:
**Profile Settings**, **Login and security**, **Preference** and **Data use**.
The page opens on **Profile Settings**. **Data use** holds the workspace's
choice about using its content to improve EchoNova models; only the workspace
owner and admins can change it.

### Step 2: Edit your profile

The **Profile Settings** tab is one form. Its fields, in order:

| Field | What it holds |
| -------------- | ----------------------------------------------------------------------------------------------------- |
| **Name** | The name the portal shows for you. It is trimmed when saved; an empty name is not saved. |
| **Email** | The address you signed up with. It is read-only: the account's email cannot be changed from Settings. |
| **Phone** | Free text. There is no format check. |
| **Gender** | **Prefer not to say**, **Male** or **Female**. |
| **Birth Date** | A date picker. |
| **Bio** | A short free-text description. |

**Save Changes** stays disabled until you change something. Press it once you
are done; while it works the button reads **Saving...**, and a **Saved** toast
with **Profile updated successfully.** confirms the result. Only the fields you
touched are saved.

Two values keep their last saved state rather than clearing. Choosing **Prefer
not to say** after a gender was saved, or clearing **Birth Date** after a date
was saved, leaves the saved value in place; the button goes back to disabled
without a toast. Clearing **Phone** or **Bio** and saving does clear them.

### Step 3: Change your password

Open **Login and security**. The first card, **Sign-in method**, shows how this
account signs in: **Email**, **Google** or **Microsoft**, with your email and a
**Connected** chip. It is information, not a control.

The **Change password** card appears only when the sign-in method is
**Email**. Accounts that sign in with Google or Microsoft have no EchoNova
password, so the card is absent for them.

1. Enter **Current password**.
2. Enter **New password**. The form requires at least 8 characters; the card
says: **Use a strong password: at least 8 characters with an uppercase
letter, a lowercase letter, a number and a special character.**
3. Enter **Confirm new password**. **Update password** stays disabled until the
   two match.
4. Press **Update password**. A **Password changed** toast with **Your password
was updated successfully.** confirms it, and the form clears.

The form checks only the length; saving applies the full check. A password
that follows the sign-up rules on
[Sign-in methods](/docs/account/sign-in-methods#step-2-create-an-account-with-email)
passes it: at least 8 characters, one uppercase letter, one lowercase letter,
one number and one special character.

### Step 4: Set your two-factor authentication

The **Two-factor authentication** card on the same tab shows **On** or **Off**
and an **Enable** or **Disable** button. The whole flow, including the recovery
codes, is on
[Two-factor authentication](/docs/account/two-factor-authentication).

### Step 5: Pick your theme and language

Open **Preference**.

- **Choose your style** offers **Light** and **Dark**. Selecting one applies it
at once and saves it; there is no save button and no toast.
- **Application language** offers **English** and **Arabic**. Selecting one
switches the portal at once and saves it.

Both are remembered for your account, so the portal opens the same way on your
next sign-in.

## Get it right

Pick a **Name** the people you work with will recognise. It is what the portal
shows for you.

**Recommended**

- Your name as colleagues know it, such as `Sara Ahmed`.

**Less effective**

- A handle or an internal code, such as `sa_ops_2`.

## Worked example

Sara signed up as `sara.ahmed` and wants the portal to show her full name. She
opens **Account settings**, types `Sara Ahmed` into **Name**, adds
`+20 100 000 0000` to **Phone**, and presses **Save Changes**. The toast reads
**Saved** and **Profile updated successfully.**, and the header of the page
now shows **Sara Ahmed**. Her email stays as it was.

## What happens next

A saved name shows across the portal straight away, in the Settings header and
in the user menu. Theme and language apply the moment you select them. A
password change signs you out of every other device and keeps this browser
signed in.

**Sign out of all devices** on the **Login and security** tab ends every
sign-in session, this one included, and you sign in again.

**Delete account**, at the end of the **Login and security** tab, closes your
account: access ends at once, we email you a link to export your data, and the
account and its data are permanently deleted 30 days later. Until then you can
ask privacy@echonova.ai to reopen it. Deleted data leaves our live systems
within 60 days of closing and our backups within 95 days. An account that signs
in with Google or Microsoft must have signed in within the last 15 minutes.
See
[Can I delete my account or my workspace?](/docs/help/faq-account).

## Limits

| Limit | Value | Applies to |
| ---------------- | ------------------------------------------- | ------------------------ |
| **Name** | Not empty after trimming | The profile form |
| **Email** | Read-only; fixed at sign-up | The profile form |
| **Gender** | **Prefer not to say**, **Male**, **Female** | The profile form |
| **New password** | At least 8 characters in the form | The change password form |
| Theme | **Light** or **Dark** | **Choose your style** |
| Language | **English** or **Arabic** | **Application language** |

## Troubleshooting

### Save Changes stays disabled

No field has changed, or you cleared **Gender** or **Birth Date** to an empty
value and the form has nothing to send. Type a new value into a field to
enable the button.

### Your current password is not correct.

The **Current password** you entered is not the password on the account. Type
it again. If you cannot remember it, sign out and use **Forgot Your Password?**
on the sign-in page; see [Sign-in methods](/docs/account/sign-in-methods).

### Password must be at least 8 characters and include an uppercase letter, a lowercase letter, a number and a special character.

The new password passed the form's length check but not the check applied when
it was saved. Choose a password that follows the sign-up rules: at least 8
characters, one uppercase letter, one lowercase letter, one number and one
special character.

### Failed to load profile.

The page could not fetch your account. Reload the page; if it persists, sign
out and sign in again.

## FAQ

### Can I change the email address on my account?

No. **Email** is read-only on the profile form, and there is no other place in
the portal that changes it. To use a different address, create a new account
with it.

### Can I change my username?

No. The username is chosen at sign-up and is not shown or edited on Settings.
For accounts created with Google or Microsoft, the username is the email
address.

### Where is the system theme option?

**Choose your style** offers **Light** and **Dark** only. The user menu in the
header also offers **System**, which follows your operating system; Settings
shows whichever of **Light** or **Dark** that resolves to.

### Do my preferences follow me to another browser?

Yes. Theme and language are saved to your account, and the portal applies them
when you sign in anywhere.

### Does changing my password sign me out elsewhere?

Yes. Changing your password ends your sign-in sessions on every other device.
This browser stays signed in.
